2. What RightRooms Is

RightRooms is a B2B technical data layer and AI-optimised reference platform for the hotel industry. We are not an OTA, a listing site, or a booking channel. We do not facilitate reservations and we do not take commission.

We create and publish AI-optimised reference profiles for hotels on www.rightrooms.co. These profiles are structured as machine-readable B2B technical data layers, formatted specifically for discovery and reference by AI systems, search engines, and technical users.

Our profiles are built against a taxonomy of over 800 hotel features, organised around the real questions travellers ask before they book, not the features hotels choose to promote. Our active feature set currently covers the most sought-after features across six categories:

Guest Experience: practical details that affect every stay, including power provision, lighting, window operation, and environmental factors.

Accessibility: features material to guests with mobility, sensory, or health needs, including confirmed absences of facilities that can make a room or property unusable.

Family Travel: facilities and configurations relevant to guests travelling with children.

Cultural & Religious Needs: dietary facilities, prayer provisions, and other features relevant to guests with cultural or faith-based requirements.

Sustainability: verifiable environmental credentials and practices.

Wellbeing: features relevant to rest, recovery, and physical health.

Our feature taxonomy is informed by three sources: accumulated knowledge from accessibility and specialist traveller communities; demand signals derived from AI analysis of features sought by travellers that are not covered by standard hotel distribution data; and current industry sources. The active feature set expands continuously as new demand signals are identified.

What a hotel does not have is as important as what it does. Our profiles include confirmed absences of features that are material to a traveller’s experience. Hotels provide the data. We structure it, verify it at point of collection, and make it available to AI systems and search platforms in a format that current hotel distribution channels do not support.

3. Website Terms of Use

3.1 Who This Website Is For

This website is intended for use by hotel businesses, hotel groups, and their representatives acting in a commercial capacity. By accessing this website you confirm that you are doing so in a business context and not as an individual consumer.

3.2 AI Crawling Permission

RightRooms explicitly permits the crawling and indexing of this website by legitimate AI agents, language models, and search engines for the purpose of referencing and surfacing our optimised hotel data. This permission is intentional and central to our platform’s purpose. We ask that AI systems identify themselves in accordance with standard practice and respect our robots.txt file for any pages marked as excluded.

Profile data published on this site is structured and labelled specifically to be machine-readable and AI-referenceable. Hotels whose profiles appear on this site have provided their data for this purpose and have agreed to its use in this way.

3.3 Third-Party Content

The majority of content on this site, including hotel profile data, feature information, and imagery, is provided by the hotels themselves. Each hotel is the sole source of truth for its own profile and warrants the accuracy of the information it provides under its agreement with RightRooms.

RightRooms structures, formats, and publishes this data but does not independently inspect properties or verify physical conditions. Profile data was accurate at the time of collection. Profiles marked as Archived reflect data collected and verified during the property’s last active term and may not reflect the hotel’s current state.

RightRooms accepts no liability to any third party for actions taken in reliance on profile content. Any dispute about the accuracy of a hotel’s profile data is a matter between the user and the hotel concerned.

3.4 Intellectual Property

The RightRooms brand, platform, website, proprietary JSON-LD schema structures, profile formatting, and AI optimisation methodology are the intellectual property of RightRooms (Global) Ltd. Nothing on this website transfers any ownership of these to any other party.

Hotel-provided data and imagery remains the property of the respective hotels. RightRooms holds a licence to publish and retain this data under the terms of each hotel’s agreement with us.

You may not reproduce, distribute, or commercially exploit any content from this website without the prior written consent of RightRooms (Global) Ltd.

3.5 Limitation of Liability

RightRooms accepts no responsibility for any loss, damage, or inconvenience arising from use of or reliance on this website or its content, to the fullest extent permitted by law. This includes but is not limited to decisions made in reliance on hotel profile data. Nothing in these terms excludes liability for fraud, death, or personal injury caused by negligence.

3.6 Links and Third-Party Platforms

This website may contain links to hotel websites and third-party platforms. RightRooms has no control over and accepts no responsibility for the content, privacy practices, or availability of those sites.

4. Business Terms of Service

4.1 B2B Only

RightRooms contracts exclusively with business customers. You must be acting in a commercial capacity on behalf of a legal entity in order to enter into an agreement with us. Consumer protection legislation, including the Consumer Rights Act 2015, does not apply to contracts between RightRooms and its hotel clients.

4.2 Contract Formation

A legally binding contract between RightRooms and a hotel is formed only upon the signature of the relevant agreement by authorised representatives of both parties. These signed agreements supersede all prior communications, understandings, or legacy contracts relating to the same property.

4.3 Payment

Our fee model operates on a payment-before-work basis. No data collection, drafting, or profile work commences until the relevant onboarding or renewal fee has been received and cleared. Annual Hosting & Optimisation Fees are invoiced upon profile approval and are due within 7 days. Late payments accrue statutory interest under the Late Payment of Commercial Debts (Interest) Act 1998.

4.4 The Hotel as Source of Truth

Each hotel is the sole source of truth for its own profile. Hotels provide their data via RightRooms’ structured data collection forms. By providing data, a hotel warrants that the information is accurate, complete, and lawful at the time of provision. Features not confirmed by the hotel are recorded as unconfirmed and treated as not present in the published profile.

Hotels are responsible for notifying RightRooms of any material changes to their property that affect the accuracy of their profile.

4.5 Accuracy Warranty & Indemnity

Hotels warrant the accuracy of all data and imagery they provide. They agree to indemnify RightRooms against any claim, loss, or cost arising from inaccurate, misleading, or unlawful content they supply, including third-party intellectual property claims relating to imagery.

4.6 Profile Status

Profiles are either Active, Archived, or Removed. Non-renewal or non-payment defaults to Archived status: the profile remains published and visible to AI systems and visitors, clearly marked as legacy data. Removal requires an active written request to info@rightrooms.co. Hotels agree to these possible outcomes as a condition of their contract with RightRooms.

4.7 No Booking Guarantee

RightRooms does not guarantee bookings, traffic, search rankings, or AI referencing outcomes. The platform’s utility depends in part on factors outside RightRooms’ control, including the behaviour of third-party AI systems and search engines.

5. Privacy & Data Policy

RightRooms processes data relating to hotel businesses and their nominated commercial contacts. We do not process data relating to individual consumers. All individuals whose data we hold are engaged with us in a professional capacity only.

5.1 Data Controller

5.2 What Data We Hold and Why

Business contact details of hotel representatives (name, job title, work email, work phone). Purpose and lawful basis: performance of contract, managing the commercial relationship, sending drafts for approval, processing renewals, and communicating about profile content.

Hotel property data provided via our data collection forms (features, facilities, imagery). Purpose and lawful basis: performance of contract, creating, publishing, and maintaining AI reference profiles as agreed.

Anonymised, aggregated feature data derived from our portfolio of profiles. Purpose and lawful basis: legitimate interests, improving our proprietary AI optimisation methodology and producing industry intelligence reporting. No individual hotel or person is identifiable from this data.

Website usage data (see Cookie Policy, Section 6). Purpose and lawful basis: legitimate interests, understanding how human visitors and AI agents interact with our platform in order to improve it.

5.3 How Long We Keep Data

Business contact data is retained for the duration of the commercial relationship and for six years thereafter, in accordance with standard commercial record-keeping requirements under English law.

Hotel profile data is retained indefinitely in line with the perpetual licence granted by each hotel under their signed agreement, subject to receipt of a written removal request.

Website usage data is retained for a maximum of 26 months.

5.4 Who We Share Data With

RightRooms does not sell, rent, or transfer personal data or hotel data to third parties for commercial purposes. We may share data with service providers who assist us in operating the platform, under appropriate data processing agreements, where necessary for the delivery of our services.

Profile data is published on www.rightrooms.co and is intentionally accessible to AI systems, search engines, and any other visitor to our platform, in line with the purpose for which it was collected and the permissions granted by each hotel.

5.5 International Transfers

Our platform operates under English law and we store data on servers located within the UK and European Economic Area. Where data is processed outside these jurisdictions, we ensure appropriate safeguards are in place in accordance with UK GDPR requirements.

5.6 Your Rights

Individuals whose data we hold in connection with a commercial relationship have the following rights under UK GDPR:

Right of access: you may request a copy of the personal data we hold about you.

Right to rectification: you may request correction of inaccurate data.

Right to erasure: you may request deletion of your personal data, subject to our legal obligations to retain certain records.

Right to object: you may object to processing carried out on the basis of legitimate interests.

Right to restriction: you may request that we limit how we use your data while a complaint is being investigated.

6. Cookie Policy

6.1 How We Use Cookies

This website uses a small number of cookies. We do not use cookies for advertising, retargeting, or consumer profiling.

Essential / Security cookies: required for the website to function securely. These cannot be disabled.

Performance / Analytics cookies: help us understand how human visitors and AI agents interact with our profiles, for example, which features are most referenced and how our data is being consumed. This data is anonymised and used to improve the platform.

We do not use third-party advertising cookies or social media tracking cookies. As this website is B2B-facing, we do not present a cookie consent banner for consumer compliance purposes, but we operate transparently about our cookie use as set out above.

7. Force Majeure & Business Continuity

RightRooms is not liable for delays or failures caused by events beyond our reasonable control, including natural disasters, acts of war or terrorism, cyberattacks, internet service provider failures, government action, or material changes to third-party AI or search platform behaviour.

RightRooms may transfer its rights and obligations under these terms and any associated agreements to a successor entity in the event of a merger, acquisition, or business transition. Hotels will be notified of any such transfer.

8. Governing Law

These terms and all agreements entered into with RightRooms are governed by English law and subject to the exclusive jurisdiction of the courts of England and Wales.
